Record hours, request holiday, keep track of the balance – right in ChurchDesk

Staff start the clock on their computer or in the app. ChurchDesk works out breaks, target hours and the time balance. Holiday requests go to the responsible person, who decides with one click – no paper forms, spreadsheets or long email threads.

Included in every ChurchDesk plan.

Where hours and holiday get stuck today

  • Hours on paper, balances in spreadsheets

The verger writes down their hours, the parish office types them up, and at the end of the month someone checks the sums. Nobody is quite sure the breaks were right.

  • Holiday by email

The request comes by email, the answer is given in passing, and the days left sit in a spreadsheet only one person keeps up to date. Ask in January how much holiday you have left, and you wait.

  • Who should actually see this?

Working hours are personal data. Yet in many systems anyone with admin rights can see everything.

Start, break, stop – on the computer or in the app

The clock starts with one click, and a break or stop is one click too. Prefer to fill it in afterwards? Enter start and end times – to the minute, as often as you need in a day.

  • One timer on every device: start it on the computer, stop it in the app.
  • The last few days at a glance: missing entries and forgotten timers stand out straight away.
  • Time balance and remaining holiday always visible – no need to ask.

ChurchDesk works out breaks, target hours and balance

The work profile records once how someone works. ChurchDesk works out the rest – day by day and across the month end.

  • Three working time models: Standard, Flexible or Simple – depending on how someone works.
  • Breaks come off: breaks from the timer or added afterwards don’t count as working time.
  • Changes from a date: when working hours change, the profile gets a new version. Earlier months stay as they were.

Request and approve holiday – without the email chains

Staff request holiday in the calendar or in the app and see straight away how many days they’ll have left. The responsible person gets an email and decides with one click.

  • A holiday account for everyone: entitlement, carried over, taken and remaining – always up to date.
  • Only working days count: ChurchDesk leaves days off out automatically.
  • Decide with the full picture: requested holiday shows in the calendar, and every decision is recorded.

Corrections with a reason, history for every day

Times can be corrected, openly. Change a recorded entry and you give a reason; the original stays visible.

  • History for every day: who changed what and when – with the reason.
  • Where every entry came from: timer on the computer, timer in the app or added afterwards.
  • No tracking: ChurchDesk records time, not location.

Time reports for the parish office and payroll

Everyone has a time report for any period: target, worked, breaks, absences and balance – day by day, with a flag wherever something is missing.

  • Flags where something is missing: for example a timer left running until midnight, or a working day with no entry.
  • Team overview: time balance and holiday account for your team on one page.
  • Export to Excel: time reports and the team overview, ready for payroll.

Who sees what: only those who need to

Working hours and holiday accounts are visible to the person, their responsible person and their line manager. Administrators don’t see them automatically.

  • Responsible person in the profile: approves, corrects and gets the emails – without admin rights.
  • Separate permissions for staffing and payroll: view only, or manage as well.
  • Cover in the office: decide on holiday requests without seeing working hours.

For everyone who records hours – and everyone who signs them off

  • Staff

Verger, director of music, parish administrator, caretaker: start, break, stop, and your own balance is always there. Request holiday in the app.

  • Responsible people

Vicar, churchwardens or office manager: decide on requests, fix a forgotten timer and check the time report at month end – all in one place.

  • Parish office and payroll

Set up work profiles, set the holiday year and send time reports to payroll as Excel. And “How much holiday have I got left?” answers itself.

Good to know

The new time registration arrives in Q1 2027 and is included in every ChurchDesk plan. You decide who can see working hours, through the responsible person and roles and permissions.

Compare plans and prices

  • We already record time in ChurchDesk. What happens to our data?

Your existing entries stay visible and your current time balance carries over. A work profile is created from the target hours you have today, for you to check in the settings. Enter the holiday entitlement once – from then on ChurchDesk keeps the holiday account.

  • We use paper or spreadsheets today. How do we switch?

Enter the time balance and remaining holiday as dated starting values, and ChurchDesk carries on from there. There is no automatic data import. Get in touch and we’ll go through the switch with you.

  • Does it work in the app too?

Yes: the timer, adding time for the last few days and holiday requests. Approving requests and opening reports happen on the computer.

  • We only want to manage holiday, not working hours.

Then your staff get the Simple working time model: no target, no balance, no missing entries – but a holiday account with requests and approval.

  • Can we export time reports?

Yes, to Excel – with exactly the columns you see on screen. To print or sign a time report, print the Excel file.
